Instructions

  • Press the "Spanner" button on the Control Panel 
  • Press the right "Arrow" button 4 times and then press the "OK" button on the "Reports" menu
  • Press the right "Arrow" button and then press the "OK" button on the "Device" menu
  • Then press the right "Arrow" button again 3 times and press the "OK" button on the "Asset Report" menu
  • Under the "Total Counter" on this printout is the "Mono Print Counts" 

 

For the e-STUDIO 409P

Instructions

  • Press the "Arrow" button 2 times and select "OK" on the "Settings" menu
  • Press the "Arrow" button to "Reports" and select the "OK" button
  • Select "OK" on the "Device" menu then select "OK" on the "Device Statistics", this will print out the counter report

 

For the e-STUDIO 408S / 409S / 478S / 528P / 338CS / 388CS / 388CP / 389CS / 479CS

Instructions

  • Press the "Spanner" icon titled "Settings" and scroll down to "Reports"
  • Select "Device", then "Asset Report", the totals will be displayed on the resulting printout

It is NOT recommended to swap empty or near-empty toner cartridges between devices.

Doing so can result in alert failures, as well as disrupt signals used for automatic toner ordering process in applications such as FMAudit.

Cleaning Guide

It is best practice to replace toner cartridges when the toner cartridge is completely empty (0%). When this occurs, a "Toner Empty" message will appear on the MFD and all print and copy jobs will be held until the empty toner cartridge is replaced.

For instructions on how to replace toner cartridges, please refer to the User Guide specific to your device.


Important Note: Replacing a toner cartridge before it is empty (0%) will trigger alert issues from the machine causing incorrect readings in applications such as FMAudit.

Department Codes FAQ

Use the following guide to assist with the correct operation of department codes using your Toshiba printer driver in Windows

Printer Driver Department Codes 

The address book can be modified from TopAccess using a computer or from walk up.

Managing the Address Book from TopAccess:

  1. Open Internet Explorer
  2. Type the IP address of the MFD in the URL bar
  3. Click on ‘Registration’
  4. Click on ‘Address Book’
  5. Click ‘Add Address’ to create an entry or click on the text of an existing entry to modify it.

Managing the Address Book from Walkup:

  1. Press ‘User Functions’
  2. Press ‘Address’

To add an address:

  1. Press on a blank space to highlight it
  2. Press ‘Entry’
  3. Press on a section to enter data. Minimum information is ‘First name’ and ‘email’ or ‘fax’ or both
  4. Press ‘Ok’

To Edit an address:

Select the address and press ‘edit’

The process may vary slightly based on the model of MFD

There are several ways to print using a mobile device such as a tablet or smartphone. For the listed methods of mobile printing below, your device will need to be connected to the same network as the MFD you are printing to. 

e-BRIDGE Print and Capture App (iOS and Android)

This application is developed by Toshiba. It supports authentication, department codes, project code and various print options such as stapling. The application also integrates with Re-Rite (OCR software that runs on your server) to use OCR to output an editable or searchable format (DOCX, XLSX, Searchable PDF).

Files must be opened within the App to be printed. Printing from other applications such as an image viewer or web browser is not supported.


AirPrint (Apple iOS)

AirPrint is a mobile printing solution included with the Apple iOS v4.2 and later mobile operating systems. If you have a supported MFD Model AirPrint will need to be enabled to be discovered by your device.


Mopria (Android)

Mopria is a set of standards that enable printing from an Android mobile device to printers from different manufacturers or brands. The first execution of the standard has been for Google's Android operating system (4.4 or later).

Mopria does not support some functions such as stapling, department codes or authentication. It has limited print options.

SMTP e-Mail Setup - Common ISP and Server Configurations

To access files stored on the MFD hard drive you will need to know the IP address of the MFD.

Finding the MFD IP Address:

  1. Enter ‘User Functions’
  2. Press the ‘Admin’ Tab
  3. Enter the password (default is 123456) and press OK
  4. Press ‘Network’
  5. Press ‘IPV4’

The IP address will be displayed.

Follow the instructions based on your operating system. In the examples, the MFD IP address used is 192.168.1.10. When following the steps, replace this with your MFD IP address

Windows:

  1. Click on ‘Start’ or the
  2. Type \\192.168.1.10 and press ‘Enter’
  3. Double click on the folder called ‘file_share’ to access the files, or right click on the folder and select ‘map network drive’ to have a permanent link

Apple Mac OS X:

  1. Open ‘Finder’
  2. Click ‘Go’
  3. Select ‘Connect to Server…’
  4. Enter 'smb://192.168.1.10/file_share'
  5. Press ‘Connect’ (click the ‘+’ to save it as a favourite server)
  6. The files stored on the MFD hard drive will be displayed

A3 Copiers

When troubleshooting a scan to e-Mail issue, an error code such as 2503 can be treated as an SMTP error 5.0.3. 

If the error code as a letter such as 2C14, the error is generated by the MFD and is usually displayed before the email has been sent.

SMTP Error Codes (MFD has successfully contacted the Mail server and the Mail server has returned an error code)

Confirm that SMTP client is configured with a valid username and password.

Confirm that TCP/IP Host name matches the DDNS host name

In TopAccess:

Confirm that host name in DDNS is correct

Destination mail address error

This is a general error and the reason can vary. Some reasons are:

-       Authentication may be required. Enter authentication details or setup a relay on your Mail server

-       Authenticated user doesn’t have permission to send on behalf of the from address

-       Mail server rejects emails that have come from an IP address is used in the “helo” string

2551

Destination mail address error

SMTP authentication is required

2552

Terminal/Destination mail address error

The email message exceeds the maximum size permitted. Change the setting on the mail server or try scanning at a lower resolution.

Destination mail address error

Confirm the email address is correct.

Confirm the authentication settings are correct, or configure authentication

 

MFD Scan to Email error codes

Confirm the email address is correct. Try adding it to the address book first and then select it when scanning.

Server Timeout Error.

Confirm DNS settings are correct and the DNS function is working correctly.

Can’t connect to SMTP server
Can't establish an SMTP connection with the entered address

Confirm the Mail server settings are correct. If using the name of a mail server, ensure DNS settings have been configured through TopAccess.

Confirm the Port setting is correct.

2C71

Failed SMTP Authentication

Confirm the username and password configured for authentication is correct.

Confirm the account used for authentication can send on behalf of the configured from address.]

System Access Abnormality

This can be caused by an incorrect network configuration ­– specifically the MTU.

A4 Desktop Devices

Error Code

Meaning

Connection Failure <-7>

Incorrect Port - Enter a different port number and test again. Common ports include 465, 587 and 25

Connection Failure <-10>

Validate CA should be turned on, user name incorrect - Try the opposite CA setting and try again. Try Full name and User name and test again

Connection Failure <-11>

Incorrect SMTP Server Address, Network Communication Issue - Enter correct SMTP server address, Check WAN, also check you can reach device via Web

Connection Failure <-19>

Incorrect Port or SSL / TLS setting - Input correct port or SSL/TLS settings (may have been an unauthenticated account initially)

Connection Failure <-22>

Incorrect date and time settings - Update the correct date and time on the device

Connection Failure <-52>

Validate CA has been checked - Uncheck Validate CA on printer email settings

Connection Failure <-504>

SMTP Server Authentication set to NTLM - Unrecognised Authentication type. Change Authentication to Applicable Plain / Login or None

Connection Failure <-530>

Enable SSL/TLS or SMTP Authentication set to None - Set to Negotiate and or Required and test again, Set Authentication to applicable setting and test again

Connection Failure <-534>

Allow account to use MFA, used to be the error code for Allow Secure Apps access - MFA procedure for Office365 and Gmail available to fix this issue

Connection Failure <-535>

User name and Password combination not accepted - Change user name and Password and test again.



Messages can be cleared by pressing 'Function Clear' twice in quick succession. This will clear messages such as "Scan to email was unsuccessful" or "Power Failure".

The default password is '123456'. 

On some printers the password will be 'aaaaaa'. 

If either of these passwords don't work it means that it has been changed and you should contact your IT support or your local Toshiba dealer.

Switch the MFD off and check for any paper jams. Also open and close any covers to reset the sensors.

The MFD specifications such as supported paper types, continuous copy speed and the equipment size can be found in the Quick Start Guide. Other specification guides can be found by searching the knowledge base and selecting "MFD Guides" as the content type.

The likely cause is that the contrast wheel has been adjusted. This is located underneath the control panel on some models. 


If your MFD doesn't have a contrast wheel the brightness setting can be adjusted through "User functions > General > Display settings".

There are several ways to monitor the MFD status. Listed below are some ways this can be done.

TopAccess Device screen

When navigating to TopAccess the Device information is displayed. If authentication is turned on, this is displayed after logging in.

This page gives a snapshot of the device, such as:
  • Network information (Serial Number, MAC address, Model etc)
  • Installed options (Finisher, Hole punch, Fax)
  • Toner Levels
  • Drawer configuration and remaining paper levels
 

Any messages, such as Toner low, waste toner cartridge needs replacing, paper empty will be displayed on this screen.

Email Notifications

Notifications can be configured for certain events, such as:
  • Drawer out of paper
  • Door/drawer open
  • Waste toner container full
  • Toner Empty
  • Paper Jam
  • Received Fax
  • Lost eCC connection
 For this function to work, the "Scan to email" function must be setup and working. Instructions on setting this up can be found here.
 
To setup Email notifications
  1. Open Internet Explorer
  2. Type the IP address of the MFD in the URL bar
  3. Click on 'Administration'
  4. Enter the username and password (Admin / 123456)
  5. Click on 'Maintenance'
  6. Click on ' Notification'
  7. Under Email Setting, select the check box next to "Notify Administrator at Email Address 1" and enter the email address
  8. Select the items to receive notifications for
  9. Click Save

Messages can be cleared by pressing 'Function Clear' twice in quick succession. This will clear messages such as "Scan to email was unsuccessful" or "Power Failure".

These message refer to the waste toner bottle. It could need to be shaken to level the amount of toner, or need replacing.

The MFD specifications such as supported paper types, continuous copy speed and the equipment size can be found in the Quick Start Guide. Other specification guides can be found by searching the knowledge base and selecting "MFD Guides" as the content type.

On the top of the machine printed on a white or red Toshiba sticker.
This is due to the 'Interrupt' button being pressed. To return the MFD to a normal state, press the 'Interrupt' button again.

Logging into FMAudit Central

  1. Navigate to https://mps.eid.toshiba-tap.com
  2. Login with your email address and password (if unsure of password, follow "forgot password" process)

If you require assistance or additional email addresses to be added, email  your request to FMAudit@toshiba-tap.com

 

Check if device is reporting

Once logged in to FMAudit Central, 

  1. Navigate to the "Devices" tab
  2. The “Last Audit Date” is the last time audit data was received for that device

If today's date is not displayed, then the device is not active on FMAudit and further investigation by the customer / I.T is required. In such cases, Toshiba will not be aware of the current toner levels and toner will need to be ordered via another toner ordering method.


Checking if alert has triggered

  1. Click on the (i) icon for the device
  2. Click on supplies
  3. The date in the “suppression” column is displayed as “date the alert was triggered + 24 months”. E.g if the date in the suppression column reads 6/8/2020 then an alert was triggered on the 6/8/2018.
  4. The alert suppression will be automatically removed once the toner level increases by more than 5%.
Its important not to swap toners between devices as it can result in alert failure and toner not being sent.

Reports

There are a variety of reports that can be run from the reports tab. Some popular reports are:

Device Reporting Status

This will show the devices that are reporting under the account. It can be sheduled to only show devices that have stopped reporting to FMAudit Central.

Supplies Levels

This will display all the toner levels and can highlight items under a certain percentage.

Supply Replacement

This report shows when the toner was last replaced, and the level it was at when it prior to replacement.



 

 

To input the IP Address of the MFD into FMAudit Onsite you need to:

Log into FMAudit Onsite

1. Select "Settings"
2. Select "Network" and click on "Add List"
3. Add IP Address and apply
4. Select "Historical Data" then click on "Start Now" then apply
5. Select "Status Data" then click on "Start Now" then apply

Note: If you don't know the IP Address of the device please refer to FAQ article on finding the IP Address of the MFD

Most installations take less than 10 minutes

It requires downloading a customised installer for your organisation and then running through the install process

Setting up and configuring FMAudit Onsite to report via Proxy

To configure the proxy settings you will need to know:

  • The Proxy IP address and port
  • Credentials (username and password) to send using the email address if authentication is required
  • If necessary set Firewall Port exceptions (see associated FAQ)

Setting up and configuring FMAudit Onsite to send reports via e-Mail

To configure the scan to e-Mail you will need to know the settings for your Mail server such as:

  • IP address
  • Port
  • The e-Mail address that e-Mails will be sent from
  • Credentials (username and password) to send using the e-mail address if authentication is required.
  • Please refer to the guide on setting up FMAudit Reporting via E-Mail

 

PC/Server requirements for FMAudit Onsite

Note: Linux and Apple Mac not supported

  • Minimum 1GB RAM, 30 MB Disk Space
  • .NET Framework 2.0 or higher
  • Internet Explorer 7.0 or higher
  • MDAC 2.8 or higher (normally included when Windows is installed)
  • JET 4.0 or higher (normally included when Windows is installed)
  • Loaded on a machine that is up 24/7 or at least the entire business day
  • Must be logged on as a Local Administrator (or equivalent) during the installation 

Firewall considerations (Port 80 or 443) Outbound: 

Data transmission: 

Network Requirements: 

  • SNMP (Port 161) traffic must be routable across the LAN or WAN 
  • Note: If  MFD or Desktop printer is only connected via USB i.e. not connected to the network, FMAudit cannot be used 

 

 

Unfortunately FMAudit Onsite does not currently support Apple OSX or Unix

However there are other options such as:

  • Electronic toner ordering and meter reading via email
  • eBridge Cloud Connect (eCC) 

Contact your local Toshiba support for advice on these options

There are many reasons for your automated ordering system to fail

  • Site Offline
  • Device Offline
  • Network Communication

To synchronise settings with the Central server restart the FMAudit Onsite application  

Log into FMAudit Onsite

1. Select "Settings"
2. Select "Central Server" and click on "Apply"
4. Select "Meters Data" then click on "Start Now" then apply
5. Select "Supplies Data" then click on "Start Now" then apply
6. Select "Service Data" then click on "Start Now" then apply
7. To confirm update check the "Activity Log"

It is important NOT to replace the toner at this point. 

A "Toner Near Empty" message signifies that the toner cartridge level is at 20%, replacing a toner cartridge before it is empty (0%) will trigger alert issues from the machine. 

The "Toner Near Empty" alert was designed to act as a prompt for the end-user to organize replacement toner(s) from your Toshiba supplier from applications such as FMAudit.
